Your wedding day should feel effortless and full of joy, not like a race against the clock! A well-planned timeline ensures you have the space to soak in every moment while allowing your videographer to capture the magic without unnecessary stress. Here’s how to create a timeline that works for both you and your wedding film!

Let’s talk about one of the most important things you can do to ensure that your wedding day is everything you’ve dreamed of, and that your wedding video turns out exactly how you want it: creating the perfect wedding day timeline. Your wedding day should feel like a dream, not like you’re running a marathon! A good timeline will keep the day flowing smoothly, help you stay in the moment, and give your videographer the space to capture all those perfect, candid shots.

But here’s the thing, timing isn’t just about making sure everyone’s in the right place at the right time. It’s also about giving everyone, especially YOU, time to enjoy each moment and soak in the joy. When it comes to wedding videography, a well-planned day makes a huge difference. So, let me give you a peek into how I help my couples create timelines that work for them and make sure I’m able to capture every magical moment.

How to Create an Ideal Wedding Day Timeline

Give Yourself Breathing Room

One of the biggest mistakes couples make is packing their timeline too tightly. When every minute is accounted for, even a slight delay can throw off the entire schedule! Instead, build in buffer time throughout the day, you’ll thank me later!

Take Wendy and James’ wedding at Tanque Verde Ranch in Tucson, for example. Wendy gave herself a little extra time in the morning to get ready. Instead of rushing through her hair and makeup, she started a bit earlier and had plenty of time to relax with her mom and bridesmaids. They even had time for some fun, candid shots of Wendy just hanging out in the tub in her room! That extra time helped them feel calm, relaxed, and ready for the first look without feeling rushed. The bonus? They had the space to soak in the moment, capture stunning portraits, and move through the day with ease, giving us the perfect backdrop for the wedding film.

Key Wedding Day Timeline Tips for a Smooth Wedding Day

If you’re wondering how to avoid the stress and ensure your videography team (and, let’s be honest, everyone else) has what they need to make your day awesome, here are a few key tips:

  1. Schedule a 30-minute break before the ceremony. This time is a lifesaver! Use it to sip some water, do a quick touch-up, and take a deep breath before you walk down the aisle. You’ll feel so much more relaxed and ready to take it all in.

  2. Plan hair and makeup to start 30 minutes earlier than recommended. I can’t tell you how often this part of the day gets behind. Having a little extra time to work with makes all the difference, especially when you have multiple people getting ready.

  3. Limit post-ceremony portraits to 20 to 30 minutes. Trust your photographer and videographer to work quickly and efficiently during this time. We’ll capture the key shots, so you can get back to your guests and enjoy cocktail hour (and maybe a drink or two!).

  4. Use the first look to capture family portraits. Why wait until after the ceremony to capture family photos? Getting these done before the wedding means more time for you to actually enjoy your guests, less stress, and a smoother flow throughout the day.

  5. Set aside quiet time with your partner. Whether it’s a quick breakfast in the morning or 15 minutes alone after portraits, giving yourself time to connect with your partner amidst the chaos of the day is so important. You’ll be grateful for that time to just breathe together.

Why This Matters for Videography

As a videographer, my job isn’t just to capture what happens. It’s to capture how the day feels, your emotions, the way you look at each other, the quiet moments in between the big ones. If the timeline is rushed, those genuine, candid moments can get lost in the shuffle. I mean, let’s be real: If you’re stressed and feeling the pressure of a tight timeline, it’s going to show on camera. But when there’s breathing room, magic happens.

When you take the time to relax and be present, I’m able to catch those in-between moments, like the deep breath you take before you walk down the aisle, or the way your partner’s eyes light up when they see you for the first time. These are the moments that make your wedding video special—the small, personal moments that really tell the story of your day.

At the end of the day, your wedding film isn’t just about capturing events. It’s about preserving how the day felt. A thoughtful timeline helps ensure your wedding film reflects the joy, love, and energy of your celebration in the most authentic way!
